Shared Services

The Shared Services department at Anton Bruckner University consists of the institute offices. They act as central administrative support for the interests of the institutes and for agreed organizational units of ABU. They are available to the institute directors, faculty, and students as reliable contacts for administrative matters. Close coordination with all administrative departments ensures that institute-related matters are handled smoothly.

Goals

• Administration of institute-specific tasks: Shared Services ensures efficient organization and supports all institute-related processes (such as conducting teacher surveys, room coordination, and bookings).
• Coordination with all administrative departments: Close coordination with other administrative departments (Event Services, Finance Department, Facility Services, Communications and Marketing, Media and Production Services, Human Resources and Legal Department, Quality Management) ensures that institute-related matters are handled smoothly.
• Institute-specific requirements in the context of the university as a whole: In the context of the university as a whole, the institute offices act as an interface to various departments. They provide assistance and, if necessary, forward internal and external inquiries to the relevant departments or persons.

Responsibilities

• Performing administrative tasks to ensure the smooth running of the institute in consultation with the respective institute directors
• Acting as a point of contact for institute directors, faculty, and students in matters relating to the institute
• Providing assistance and, if necessary, forwarding internal and external inquiries to the relevant departments or persons
• Conducting teacher surveys
• Coordinating and booking rooms
• Coordinating institute-related appointments
• Taking minutes at institute conferences
• Providing administrative support for events
• Drawing up work contracts
• Providing organizational support for external guests
• Maintaining the content of the institute's website in collaboration with the Communication and Marketing department
• Working closely with other ABU departments on events, symposia, conferences, and other events
